Privacy Policy
This Privacy Policy describes how Diagnobot (“we,” “us,” or “our”) handles information when you visit our website, use our contact or demo request forms, or otherwise interact with our online properties at diagnobot.ai (the “Site”). If you use Diagnobot as part of a separate agreement with your employer or healthcare organization, additional terms may apply under that contract.
1. Information we collect
We may collect the following categories of information:
- Information you provide. When you submit a form (for example, name, email address, phone number, organization, and message), we collect the fields you choose to send.
- Technical and usage data. Such as IP address, browser type, device type, general location derived from IP, pages viewed, and timestamps. This may be collected through server logs, cookies, or similar technologies.
- Communications. If you email us or correspond through the Site, we retain those messages and related metadata as needed to respond and maintain our records.
2. How we use information
We use the information above to:
- Respond to inquiries, schedule discussions, and evaluate whether our services fit your needs;
- Operate, secure, and improve the Site and our products;
- Comply with law, enforce our terms, and protect rights, safety, and security; and
- Analyze aggregated or de-identified usage trends (where permitted).
We do not sell your personal information as that term is commonly understood in U.S. state privacy laws.
3. Legal bases (where applicable)
Depending on your jurisdiction, we may rely on one or more of the following bases: your consent (for example, when you submit a form or accept non-essential cookies), performance of a contract, legitimate interests (such as securing our services and understanding product interest), or legal obligation.
4. Sharing of information
We may share information with:
- Service providers who assist us with hosting, email delivery, analytics, security, or customer relationship tools, subject to confidentiality and data-processing terms;
- Professional advisors (such as lawyers or accountants) where necessary; and
- Authorities or third parties when required by law, legal process, or to protect vital interests.
If we are involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction, subject to this Policy or equivalent protections.
5. Cookies and similar technologies
We may use cookies, pixels, or local storage for essential Site operation, preferences, or analytics (for example, to measure traffic or campaign performance). You can control cookies through your browser settings; disabling some cookies may limit certain features.
We use Google reCAPTCHA v3 on contact forms to detect spam and automated abuse. reCAPTCHA analyzes interactions with the Site and may send data (including device and usage information) to Google for that purpose. Google’s use of data is described in the Google Privacy Policy and Terms of Service.
6. Data retention
We retain form submissions and related correspondence for as long as needed to fulfill the purposes described above, resolve disputes, and meet legal, accounting, or reporting requirements. Technical logs are typically retained for a shorter period unless needed for security investigations.
7. Security
We implement reasonable administrative, technical, and organizational measures designed to protect personal information. No method of transmission over the Internet or electronic storage is completely secure; we cannot guarantee absolute security.
8. International transfers
If you access the Site from outside the country where our servers or service providers are located, your information may be transferred to and processed in those countries. Where required, we use appropriate safeguards for cross-border transfers.
9. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal information, to object to certain processing, to withdraw consent, or to lodge a complaint with a supervisory authority. To exercise applicable rights, contact us using the details below. We may need to verify your identity before responding.
10. Children’s privacy
The Site is not directed to children under 16 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe we have collected such information, please contact us and we will take appropriate steps to delete it.
11. Health and sensitive information
Please do not submit protected health information (PHI), government identifiers, or other highly sensitive data through general website forms unless we have provided a secure channel and agreement for that purpose. Information you send through standard contact forms is treated according to this Policy and is not intended to create a patient–provider relationship.
12. Changes to this Policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will reflect the latest revision. Material changes may be communicated through the Site or by other appropriate means.
13. Contact
For privacy-related questions or requests, contact us through the form on our home page or email info@diagnobot.ai. We will respond within a reasonable timeframe.
